Body Trucks for Water Utilities Introduction: The intent of this Agenda Item is to seek City Council's approval for Interim City Manager to purchase three (3) Ford F-250 R.C. Body trucks in the amount of$87,944.52 from Silsbee Ford of Silsbee, Texas. Background: The new trucks will be used by the Wastewater Conveyance and Water Distribution Divisions for supporting Utilities maintenance operations, and will be replacing Wastewater Conveyance Unit Nos. 1977 and 2062 and Water Distribution Unit No. 2152. The current trucks were damaged beyond repair in Tropical Storm Harvey. These vehicles are an essential part of Wastewater Conveyance and Water Distribution crews in their work of maintaining critical systems and insuring public health. Budget Impact: The Ford F-250 R.C. Body trucks have a competitive purchasing quote of $29,314.84 each, totaling $87,944.52 from Silsbee Ford of Silsbee, Texas, and will be paid out of Account No. 147-2300-901.92-00, Equipment Replacement (Harvey Account). No insurance settlement has been reached for this equipment. A RESOLUTION AUTHORIZING THE PURCHASE OF THREE (3) FORD F-250 R. C. BODY TRUCKS FOR THE WATER UTILITIES DEPARTMENT FROM SILSBEE FORD OF SILSBEE, TEXAS, IN THE AMOUNT OF $29,314.84 EACH FOR A TOTAL OF $87,944.52. FUNDS ARE AVAILABLE IN TROPICAL STORM HARVEY EQUIPMENT ACCOUNT NO. 147-2300-901.92-00, EQUIPMENT. WHEREAS, Utility Operations Department routinely uses trucks to support maintenance operations for Water Utilities for Citizens, Businesses, and Industries of City of Port Arthur; and, WHEREAS, on August 30, 2017, Tropical Storm Harvey decimated the majority of City of Port Arthur's fleet, including Wastewater Conveyance Division's trucks Identification No. 1977 and 2062 and Water Distribution's truck Identification No. 2152; and, WHEREAS, these vehicles are an essential part of Wastewater Conveyance and Water Distribution crews in their work of maintaining critical systems and ensuring public health; and, WHEREAS, the City is aware that these vehicles have not yet been totaled by the insurance company; and, WHEREAS, Purchasing Division administered a competitive bid process and opened bids from ten(10) different vendors for 3/4 Ton Trucks with Service Body for City of Port Arthur, as delineated in our Purchasing Policy with seven (7) vendors submitting bids, two (2) vendors not entering a bid, and one (1) bid disqualified; and, WHEREAS, Silsbee Ford of Silsbee, Texas, through competitive bid process, provided the quote attached as Exhibit"A", which meets our specifications, NOW THEREFORE, BE IT RESOLVED BY CITY COUNCIL OF CITY OF PORT ARTHUR: THAT, City Council hereby authorizes the purchase of three (3) Ford F-250 Regular Cab Trucks with Service Body from Silsbee Ford of Silsbee, Texas, through the competitive bid P. R. No. 20061 01/16/18 ds/bw Page 2 of 3 process, organized by Purchasing Division, in an amount of$29,314.84 each for a total of $87,944.52; and, THAT, funding for this equipment is provided for in the Tropical Storm Equipment Recovery budget; and, THAT,a copy of the caption of this resolution be spread upon the minutes of City Council.
