RENOVATIONS/REPAIRSMemorandum City of Port Arth ur, Texas Purchasing Division TO: Stephen Fitzgibbons, City Manager FROM: Joseph Broussard, Purchasing Manager DATE: November 28, 2007 SUBJECT: Proposed Resolution No. 14470 RECOMME:~IDATION The Purchasing Division recommends the City Council's approval to authorize an extension to Pick Two Contractors, Inc. of Port Arthur, Texas for the project at the Health Department for the renovation of the second (2"d) floor. The completion date will change from November 30, 2007 to January 31, 2008. BACKGROUND On June 5, 2007, the City approved Resolution #0~7-268 authorizing the contract between Pick Two Contractors, Inc. of Port Arthur, Texas and the City of Port Arthur for renovations to the second floor of the Health Department in the amount of $665,000. Resolution #07-746 authorized an extension to accommodate a change; in the design of the five (5) offices on the second floor that gave the Health Director and employees sufficient office space. There is a need to extend Pick Two Contractors, Inc.'s contract for 60 days to complete the five (5) offices and the electrical work on the second (:?°a) floor of the Health Department. Pick Two Contractors, Inc of Port Arthur, Texas has hired a new electrical subcontractor, Walker's Electric Company of Beaumont, Texas as the electrical subcontractor replacement to complete the 2"d floor renovation of the Health Department. The new completion date for the renovation on the 2"d floor of the Health Department will be January 31, 2008. BUDGETARY AND FISCAL EFFECT Account Number #132-1021-514.59-00 Project No. SSBGOI STAFFING EFFECT None SUMMARY The Purchasing Division recommends the City Council's approval to authorize an extension to Pick Two Contractors, Inc. of Port Arthur, Texas for the project at the Health Department for the renovation/repairs of the second (2°a) floor. The completion date will change from November 30, 2007 to January 31, 2008. PR 14470 P. R. NO. 14470 11/28/07 df RESOLUTION NO. A RESOLUTION AUTHORIZING CHANGE ORDER NO. (2) OF THE CONTRACT BETWEEN THE CITY AND PICK TWO CONTRACTORS, INC. OF PORT ARTHUR, TEXAS FOR THE RENOVATION/REPAIRS OF THE SECOND (2ND) FLOOR OF THE HEALTH DEPARTMENT FOR A SIXTY (60) DAY EXTENSION. THE NEW COMPLETION DATE WILL BE JANUARY 31, 2008. WHEREAS, the Health Department was awarded $823,200 through the Social Services Block Grant for renovation/repairs of the second (2°d) floor; and WHEREAS, resolution #07-268 approved the contract between Pick Two Contractors, Inc. of Port Arthur, Texas and the City in the amount of $655,000 to be completed by August 31, 2007; and WHEREAS, the Resolution # 07-476 approved a ninety (90) day extension for Change Order No. 1 to accommodate a change in the design for five (5) offices on the second floor that would give the Health Director and employees sui-ficient office space and all work was to be substantially completed by November 30, 2007; a:nd WHEREAS, a new electrical contractor has been hired by Pick Two Contractors, Inc., of Port Arthur, Texas as the electrical subcontractor replacement; and PR 14470 WHEREAS, Pick Two Contractors, Inc. h.as requested an extension; and WHEREAS, Pick Two Contractors, Inc. will have a deduct for the additional costs incurred by the City from the architect caused by this extension; and WHEREAS, the sixty (60) day extension will allow Pick Two Contractors, Inc. to complete the necessary renovations to the second (2"d) floor of the Health Department; and WHEREAS, all renovation work will be completed by January 31, 2008. NOW THEREFORE BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF PORT ARTHUR: Section 1. That, the facts and opinions are true and correct. Section 2. That, the City Council of the City of Port Arthur hereby approves Change Order No. 2 for a sixty (60) day extension in substantially the same form as attached hereto as Exhibit "A". Section 3. That, a copy of the caption of this Resolution be spread upon the Minutes of the City Council. CHANGE IN SCOPE: Extension of 60 days to complete project. CHANGE TO CONTRACT AMOUNT: N/A ORIGINAL CONTRACT amount: $665,000 CURRENT CONTRACT PRICE (adjusted by previous CHANGE ORDER): 1) $33,870 increase - new contract price $698,870 The Contract Amount due to this CHANGE ORDER will be increased/decreased by: N/A - 60 DAYS WILL BE ADDED TO THE CONTRACT AND THE COMPLETION DATE OF THE CONTRACT WILL BE JANUARY 31, 2008. The new CONTRACT AMOUNT including the CHANGE ORDER will be: $698,870. During this extension, Pick Two Contractors, Inc. will have a deduct for the additional costs incurred by the City from the architect.
