Box 1089 Port Arthur, TX 77641-1089 Dear Mayor Prince: As you may know, our upcoming Boazd election for two trustees w~Jl,be held on May 10, 2008. As a result of collaborative efforts of the City of Port Arthur and PAISD, the City Secretary has agreed to administer the election process for the school district and PAISD will be billed by the City for these services. Ms. Terri Hanks, Acting City Secretary, has worked diligently to develop a process which will minimize the impact to our voters as election administration is transitioned from the County Clerk'sOffice. Ms. Hanks has provided an excellent alternative to utilizing the voting equipment which is maintained by the County Clerk. Although we did not include budget dollars for leasing equipment, I feel strongly -this is the best option to pursue. This alternative will ensure that we have equipment and services available to us based on our timeline. The costs of the outsourced equipment and services which will be paid for by all governing bodies participating in the election are based on the number of polling sites needed. Therefore, I would ask the City Council to consider reducing the number of polling sites for Early Voting. A reduction in the sites could result in significant savings. For example, ifthe voting locations were reduced to 2-3 sites, a cost savings of approximately $20,000 could be realized. Sincerely, Johnny E. B wn, PhD Superintendent P.2
