R.No. 21385 Introduction: Authorizing the first year of a contract with the option to renew for two additional years with Triangle Dirt Works, Redwine, Ramtex all of Port Arthur, Texas and Mid County Materials & Construction of Pearland, Texas for the providing dirt materials and transportation of materials. This service will be provided on an as needed basis. Background: This is an annual contract to provide dirt materials and transportation of materials for the Public Works Department and other City departments. Historically the City Landfill, Streets Division, and Parks Departments have been the major users of this service. The City received bids from multiple vendors for a variety of materials. The purchase of the material will be based on the price first then availability when necessary. These bids were reviewed by staff and are considered to be the fair market value for these services and in line with past costs. The contractor is not guaranteed any minimum amount of work under this contract. Budget Impact: Funding is available in account no. 403-1274-533.59-02—Public Works Landfill—Landfill Construction and account no. 001-1203-531.36-00—Public Works Streets—Streets Maintenance. A RESOLUTION AUTHORIZING THE CITY MANAGER TO EXECUTE A CONTRACT WITH TRIANGLE DIRT WORKS, REDWINE, AND RAMTEX ALL OF PORT ARTHUR, TEXAS AND MID COUNTY MATERIALS & CONSTRUCTION OF PEARLAND, TEXAS TO PROVIDE DIRT MATERIALS AND TRANSPORTATION OF MATERIALS. THE DIRT MATERIALS AND TRANSPORTATION OF MATERIALS HAS A PROJECTED BUDGETARY IMPACT OF$500,000.00 PER YEAR. FUNDING IS AVAILABLE IN THE PUBLIC WORKS DEPARTMENT LANDFILL DIVISION — LANDFILL CONSTRUCTION ACCOUNT NO. 403-1274-533.59-02. WHEREAS, the City requires the services of a contractor to provide dirt materials and transportation of materials to the Port Arthur Landfill; and, WHEREAS, five bids were received and opened on April 22, 2020 for the above referenced services and has been evaluated by Public Works and Purchasing as shown in the Bid Tabulation attached as Exhibit"A"; now therefore, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF PORT ARTHUR: THAT, the facts and opinions in the preamble are true and correct; and, THAT,the City Manager is hereby authorized to execute a non-exclusive contract for dirt materials and transportation of materials to the Landfill with a budgetary impact in the amount of $500,000 with Triangle Dirt Works of Port Arthur, Texas (Exhibit"B"), Redwine of Port Arthur, Texas (Exhibit "C"), Ramtex of Port Arthur, Texas (Exhibit "D") and Mid County Materials & Construction of Pearland, Texas (Exhibit"E").
