COMMENTS
RECOMMENDATION:
We recommend the approval of Proposed Resolution No. 11956 rejecting bids received for janitorial
services and authorizing the renewal of the existing Janitorial Services Contract with Southeast Texas
Building Services, Inc., for the Utility Operations Department.
BACKGROUND:
On September 4, 2002 the City received bids on janitorial services. The contract was advertised for bids
and ten (10) bid packets were sent ont but only one (1) bid was received from Sanserve Building Services
of Beaulnont, in the amount of $6,540 which is$480.60 higher than the current contract.
On October 31, 2000, the City Council awarded Southeast Texas Building Services, Inc. of Nederland.
Texas, the contract for janitorial services for the Utility Operations Service Center. The Contract was lbr
one ( 1 ) year with the option to renew each year up to two (2) additional years. This will be the third year of
the existing contract for the same amount as last year, $6,059.40. Presently Southeast Texas Building
Services is providing satisfactory services and pricing to the City of Port Arthur Utility Operations
Department.
BUDGET/FISCAL EFFECT:
Ftmds are budgeted and available in the Utility Operations Department, Stores Division budget, Account
No. 410-1254-532.59-00.
STAFF/EMPLOYEE EFFECT:
Staff will administer this contract and monitor the coutractor's pcrfom~ance.

RESOLUTION NO.
A RESOLUTION REJECTING BIDS FOR JANITORIAL SERVICES AND
AUTHORIZING THE THIRD YEAR OF THE EXISTING JANITORIAL SERVICES
CONTRACT FOR THE UTILITY OPERATIONS SERVICE CENTER APPROVED
ON OCTOBER 31, 2000, WITH SOUTHEAST TEXAS BUILDING SERVICES, OF
NEDERLAND FOR A SUM NOT TO EXCEED $6,059.40. ACCOUNT NO. 410-
1254-532.59-00
WHEREAS, the City Council of the City of Port Arthur approved the contact for janitorial
services for the Utility Operations Service Center to Southeast Texas Building Services on October 31,
2000; and,
WHEREAS, the contract provided for annual renewal at the City's option for up to three (3)
years; and,
WHEREAS, the City received bids on September 4, 2002, for janitorial services; and,
WHEREAS, the City only received one (1) bid and that bid reflected a $480.60 increase from
the current contract; and,
WHEREAS, the City Council desires to renew the current contract for an additional year;
NOW THERFORE BE 1T RESOLVED BY THE CITY COUNCIL OF TIlE CITY OF
PORT ARTHUR:
THAT the City Council of the City of Port Arthur hereby approves renewal of the existing
contract for janitorial services between the City of Port Arthur and Southeast Texas Building Services,
for the Contract total price of Six Thousand Fifty-nine and 40/100 ($6,059.40) Dollars; and,
THAT Southeast Texas Building Services shall sign this Resolution agreeing to the terms hereof';
and,
THAT a copy of the caption of this Resolution be spread upon the Minutes of the City Council.
