PURCHASE OF SIX COPIERS City of Port Arthur, Texas Mayor and City Council Communication PAGE Date SUBJECf: [Recommendafion to approve the purchase of five copier s in the amount of $46,090 through the State of Texas Page I of I REC oMMENDATI.ON~: We recommend that the City Council approve the purchase of six copiers from the Minolta Corporation through the State of Texas same as the Cooperative Purchasing Network (TCPN) in the amount of $38,980 plus the maintenance cost of $7,110 totaling $46,090. BACKGROUND:. The copiers in the Purchasing Department, Police Field Operations, 2nd Floor Annex, 3rd Floor, and 1st Floor Annex, and the Library are experiencing repeated breakdowns and continuous paper jamming. Last year the City purchased the same copier from Better Business Machines instead of the state contract at a price of $7,247. We are recommending the same copier at a price of $6,942 through the State of Texas. This is a quality machine that the City is highly satisfied with and will be ideal for the City departments. This brand of copier is capable of handling the high volume of work. Purchasing does not believe the bidding process will provide a lower cost based on discussions with Better Business Machines. Vendors can not match the maintenance contract price that the State contract provides. The amount budgeted for the purchase of these six copiers is $42,500 in Account # 625-1801-515.92-00. The City will save $3,520. Funds for the maintenance contracts are available in purchasing account 001-1033-515.42-00.
