RECOMMENDATION We recommend the City Council award the bid as delineated below for Water Meter Boxes and Vaults to Rural Pipe & Supply, of Jasper, Texas and Coburn's Supply, of Beaumont, Texas, for the Utility Operations Department. This equipment will be maintained in our Warehouse inventory and charged to the appropriate account when used; #410-1253-532.35-00 for replacements, or#414-1621-532.85-00 for new installations. BACKGROUND Our Water Distribution Study noted the poor condition of numerous water meter enclosures throughout town that need to be brought up to standard. With our upcoming meter change-out program, we will be replacing perhaps thousands of residential-size meter boxes. W e have recently updated our standards to include PVC and fiberglass products, as they are available in a variety of designs to provide more security, enhanced traffic loads, and even different colors to identify their use/contents. Also, recent commercial expansion has caused us to purchase increased quantities of large meter vaults. This award establishes unit prices for various meter.boxes and vaults. The vaulfbid is also for oval, corrugated steel instead of the concrete or poly-crete specified. Their bid for the smaller boxes is also for entire minimum quantities of truckloads of 1000 boxes only. Recommended awards are shown in bold: While the low bid for some individual items' uriit prices may vary between vendors, the items recommended for award are for the overall least expensive assembled unit. BUDGET/FISCAL EFFECT These items will be maintained iri our Warehouse inventory and charged to the appropriate account when used. Replacement meter boxes are charged to our 08M operating budget, while new installations are charged to the W&S Construction/Tap Fund. , .STAFFING/EMPLOYEE EFFECT A recently approved additional tap crew will also be changing meters, installations, and boxes.
