RECOMMENDATION:
I recommend that the City Council approve Proposed Resolution #12138 authorizing the
third year of the existing four (4) year contract with A~M.F. Materials and Transport, Inc.,
of Port Arthur, Texas, for wood grinding services, at a unit cost of $0.65 per cubic yard to
grind green waste at the City's landfill. Funds are available in the FY 2003 Public Works-
Solid Waste Division Budget, Account No. 403-1274-533.59-00.
BACKGROUND:
Advertisements for bids were published on March 18, 2001 and March 25, 2001. At least
six (6) bid packages were sent to local and regional contractors and contractor
agencies/centers. A total of two (2) bids were received and opened on April 4, 2001. The
contract was awarded to A.M.F. in April, 2001, for a four-year period at a rate of $0.65 per
cubic yard, with each succeeding year, up to an additional three (3) years subject to
approval by the City Council. This will be the third year of the four (4) year contract, with
the extension provided for in the terms of the contract.
During last year's contract, we spent approximately $112,000 on green waste grinding.
BUDGETARY/FISCAL EFFECT:
Funds for this operation are available in the FY 2003 Public Works-Solid Waste Division
budget, Account No. 403-1274-533.59-00, with $114,650 being budgeted and an
unencUmbered balance of $36,525.
EMPLOYEE/STAFF EFFECT:
None
SUMMARY
I recommend that the City Council approve Proposed Resolution #12138 authorizing a
one-year extension of the existing Contract with A.M.F. Materials and Transport, Inc., of
Port Arthur, Texas, for wood grinding services, at a unit cost of $0.65 per cubic yard to
grind green waste at the City's landfill. Funds are available in the FY 2003 Public Works-
Solid Waste Division Budget, Account No. 403-1274-533.59-00.

WHEREAS, the contract for wood grinding services was awarded to A.M.F.
Materials and Transport, ]~nc., of Port Arthur, Texas by Resolution No. 0~.-:102 on April
17, 2001, said contract being renewable by City Council action for up to an additional
three (3) years thereafter; now, therefore,
BE IT RESOLVED BY THE CITY COUNCt'L OF THE CITY OF PORT
ARTHUR:
THAT, the City Council of the City of Port Arthur hereby authorizes the third year
of the existing four {4) year contract, as provided for in the terms of the current
contract, between the City of Port Arthur and A.M.F. Materials and Transport, l~nc., for
wood grinding services to grind green waste at the City of Port Arthur landfill, at the
rate of $0.65/per cubic yard at an estimated cost of $120,000; and,
THAT, AHF Materials and Transport, Inc. shall sign this resolution agreeing to
the terms hereof; and,
THAT a copy of the caption of this Resolution be spread upon the Minutes of the
City Council.
