It has been determined that two of the current units that cool and heat the building have failed and need replacement. Industrial and Commercial Mechanical (ICM) of Beaumont, Texas can do this work for $25,629.33 out of Civic Center Building Maintenance Account Number 001-15-043-5312-00-20-000. ANALYSIS/CONSIDERATION: Two of the current HVAC units at the Department Club need replacement. ICM of Beaumont,Texas has provided a price for this work under the Buyboard cooperative contract # 638-21 in the amount of $25,629.33 out of account number 001-15-043-5312-00-20-000. RECOMMENDATION A resolution authorizing the City Manager to enter into an agreement with Industrial and Commercial Mechanical of Beaumont,Texas to replace two HVAC units at the Department Club in the amount of $25,629.33. Funds available in account number 001-15-043-5312-00-20-000. BUDGETARY AND FISCAL EFFECT Funds available in Civic Center Building Maintenance account number 001-15-043-5312-00-20-000. A RESOLUTION AUTHORIZING THE CITY MANAGER TO ENTER INTO AN AGREEMENT WITH INDUSTRIAL AND COMMERCIAL MECHANICAL OF BEAUMONT, TEXAS THROUGH BUYBOARD COOPERATIVE PURCHASING PROGRAM CONTRACT NO. 638-21 TO REPLACE TWO HVAC UNITS AT THE DEPARTMENT CLUB IN THE AMOUNT OF $25,629.33. FUNDS AVAILABLE IN ACCOUNT NUMBER 001-15-043-5312-00-20-000. WHEREAS, the Department Club needs two new HVAC units to replace the current, failed units for the cooling and heating of the building; and WHEREAS, Industrial and Commercial Mechanical of Beaumont, Texas can do this work for $25,629.33; and WHEREAS, Industrial and Commercial Mechanical of Beaumont, Texas has a cooperative contract with Buyboard; and, WHEREAS, Chapter 271 of the Local Government Code allows a city, by resolution of its governing body, to participate in cooperative purchasing programs, such as Buyboard, a purchasing cooperative, as an alternative to a formal bid process; and WHEREAS, per Resolution No. 02-341, the City entered into an interlocal agreement for cooperative purchasing with the Buyboard Cooperative Purchasing Program("Buyboard"). NOW THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF PORT ARTHUR: Section 1. That the facts and opinions in the preamble are true and correct. Section 2. That, the City Manager is hereby authorized to enter into an agreement with Industrial and Commercial Mechanical of Beaumont, Texas through Buyboard Cooperative Purchasing PO 22422 Program Contract No. 638-21 to replace two HVAC units at the Department Club in the amount of $25,629.33, in substantially the same form as attached hereto as Exhibit"A". Section 3. That, a copy of the caption of this Resolution be spread upon the Minutes of the City Council. ICM will furnish and install 2-new indoor 5—Ton Fan/Coil units, with new Copper line-sets extended outside-to be connected to a quantity of 2—NEW Carrier 5-Ton 14 SEER Heat Pump Condensing units Any extended supply and/or return air Ductwork including grills associated with these AC systems are being furnished and installed by the owners General Contracting AC Company working on this Job. !CM will be providing labor or materials for the Startup,of these New Heat Pump AC units PRICE TO PERFORM THE PROPOSED WORK-INCLUDING 2 NEW HEATPUMP OUTDOOR UNITS Labor $ 9860.00 Materials $ 15,769.33 Total $ 25,629.33 Sales Tax is Not Included ADDENDUM -to Furnish Larger-15 to 20 KW Heat Strip Kits,for both Indoor Fan Coil units ADD$400.00 to Total Price Proposed listed above. ***This will require Electrical Modifications for the size Electrical Wiring that will supply these Heating Strip Kits.
