A RESOLUTION PERTAINING TO AN AWARD FOR THE PURCHASE OF BOOKS, VIDEO AND AUDIO MATERIALS TO BAKER & TAYLOR, THE PURCHASE OF REFERENCE BOOKS FROM GALE GROUP VIA THE TEXAS BUY BOARD AND THE PURCHASE OF OTHER BOOKS FROM COMPANIES HOLDING EXCLUSIVE DISTRIBUTION RIGHTS TO THE MATERIALS WHEREAS, in June of 2009, the City of Port Arthur advertised for bids for the purchase, of books, video and audio materials by the Port Arthur Public Library; and WHEREAS, bids were received and duly considered by a Committee consisting of officials from the Library and the Purchasing Department established for that purpose; and WHEREAS, the Request for Proposal was for one yeaz with an option by the City to renew for four additional one year periods; and WHEREAS, the Committee, by unanimous consent, recommended that the bid' submitted by Baker & Taylor best meets the needs of the Library in terms of price, breadth of services offered, and timeliness of delivery; and WHEREAS, the staffof the Library is satisfied with the services heretofore provided by Baker & Taylor, and wishes to accept the bid submitted by Baker & Taylor, (a copy of which is attached as Exhibit "A"); and WHEREAS, if the book is not available from Baker & Taylor, then the library can obtain the books, papers and other materials from companies holding exclusive distribution rights to the material; and WHEREAS, if the reference books are not available from Baker & Taylor, the Committee also desires to purchase reference books from Gale Group via the Texas Buy Board . NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF PORT ARTHUR, TEXAS: SECTION 1. That the facts and opinions in the preamble are true and correct. SECTION 2. That the City awards the bid effective September 15, 2009 to Baker & Taylor for one year with the option to renew by the City for four additional years with the discounts as noted in Exhibit "A". SECTION 3. That a designated representative of Baker & Taylor will sign this Resolution agreeing to the terms hereof. SECTION 4. That Library Director may purchase reference books which are not available from Baker & Taylor and which are available from the Gale Group via the Texas Buy Board SECTION 5. That the Library Director may purchase other books which are not available from Baker & Taylor and which are available from companies holding exclusive distribution rights to the books. SECTION 6. That a copy of the caption of this Resolution be spread upon the Minutes of the City Council. Baker & Taylor's enhanced shipping label includes the pack date, freight carrier, account number, B&T picklist number, carton number and individual carton weight.
