The intent of this Agenda Item is to seek the City of Port Arthur's City Council's ratification of the PAEDC engaging Industrial and Commercial Maintenance (ICM) to furnish and install two (2) HVAC condensing coils at 549 4th Street. Background: ICM, an awarded vendor for Buyboard Contract #638-21; the PAEDC is contracted with them to oversee the Preventative Maintenance of the HVAC system at 549 4th Street. On February 29,2024, the system that services the second floor of the premises stopped cooling and ICM was called out to investigate/repair. Upon examination it was discovered that two (2) condensing coils were leaking and no longer working properly and in need of replacement. The area of the building impacted encompasses the Flex Room, which is utilized on a frequent basis for various workshops, training, etc. PAEDC CEO and the City Manager deemed the need for an emergency repair to for the public health, safety and welfare associated with occupancy of the building. Budgetary Impact: The budgetary impact of this item is $17,922.85, funds available in PAEDC Account No. 120-80- 625-5318-00-00-000. Recommendation: It is recommended that the City of Port Arthur's City Council ratifies the PAEDC engaging Industrial and Commercial Maintenance(ICM)to furnish and install two(2)HVAC condensing coils at 549 4th Street. A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF PORT ARTHUR RATIFYING THE CITY OF PORT ARTHUR SECTION 4A ECONOMIC DEVELOPMENT CORPORATION'S ENGAGEMENT OF INDUSTRIAL AND COMMERCIAL MAINTENANCE (ICM) OF BEAUMONT, TEXAS TO FURNISH AND INSTALL TWO (2) NEW HVAC CONDENSING COILS AT 549 4TH STREET, AT A COST NOT TO EXCEED $17,922.85, FUNDS AVAILABLE 120-80- 625-5318-00-00-000 WHEREAS, The Port Arthur Section 4A Economic Development Corporation ("PAEDC") owns the property located at 549 4th Street and is obligated to maintain this property; and WHEREAS, Industrial and Commercial Maintenance (ICM) is the vendor the PAEDC is contracted with to oversee the Preventative Maintenance for the HVAC system at 549 4th Street; and WHEREAS, On February 29, 2024, the system that services the second floor of the premises stopped cooling and ICM was called out to investigate/repair. NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF PORT ARTHUR: Section 1. That the facts and opinions in the preamble are true and correct. Section 2. That the City Council hereby ratifies the City of Port Arthur Section 4A Economic Development Corporation to engage ICM to furnish and install 2 new condensing coils at 549 4th Street at a cost of$17,922.85. Section 3. That a copy of the caption of this Resolution be spread upon the Minutes of the City Council. ICM is the vendor the PAEDC contracted with to oversee the Preventative Maintenance for the HVAC System at The Press Building. On Thursday, February 29, 2024, the system that services the second floor stopped cooling. ICM was called out to investigate/repair.
