This festival is designed to deliver a full day of entertainment—featuring food vendors, crawfish competition, rides, premium attractions, nightlife entertainment, and family activities. This proposal outlines the full event structure, responsibilities, revenue projections, awards, and the partnership model between Field Dates LLC and the City of Port Arthur Parks & Recreation Department. Event Schedule Family & Kids Festival 11:00 AM – 6:00 PM Includes: ● General rides & inflatable zones ● Family games ● Crawfish vendors ● Daytime entertainment ● Premium Field Dates Activation Zone Adults-Only Festival 7:00 PM – 12:00 AM Includes: ● Live bands & stage shows ● Four alcohol bars ● Crawfish Cook-Off awards ceremony ● Premium rides & attractions ● Adult entertainment zone 4. Ticketing Structure General Admission (Entry + General Rides) ● Adults: $25 ● Students/Kids: $20 Field Dates Activation Zone (Premium Wristband) $39.95 per guest Includes: ● Zipline ● Rock climbing wall ● Go-karts ● Premium obstacle courses ● Competitive game zones General admission does not include these premium attractions. 5. Crawfish Vendor Participation Vendor Fee: $300 Includes: ● Booth space ● Access to family + adult festival hours ● Entry into the Cook-Off competition ● Shared promotional visibility Vendors set their own prices per pound or per plate and keep 100% of sales. 6. Cook-Off Competition & Awards Grand Prize – $1,000 + Trophy Judged on: ● Cajun flavor ● Spice balance ● Cooking technique ● Presentation People’s Choice Award ● Trophy / Plaque ● Social media recognition Optional Additional Awards ● Most Creative Flavor ● Best Presentation ● Best Side Item 7. Bar Operations (4 Total) Field Dates will operate four alcohol bars offering: ● Beer ● Wine ● Cocktails ● Frozen beverages Drink price: $10 Field Dates will provide: ● TABC-certified staff ● ID verification ● Inventory management ● Cash/card terminals 8. Responsibilities Field Dates LLC Responsibilities: ● Provide all rides, inflatables, premium attractions ● Staff, setup, operations, teardown ● Ticketing and admission systems ● Vendor coordination ● Stage setup and management ● Bar operations ● Crowd flow & support security ● On-site cleanup support City of Port Arthur Parks & Recreation Responsibilities: ● Provide/approve venue ● Issue necessary permits ● Provide police/security + EMS ● Lead marketing to the community ● Assist vendor recruitment ● Provide utilities, trash, and grounds support ● Provide or assist with entertainment booking 9. Revenue Projection (2,500 Attendees) General Admission ● 1,500 Adults × $25 = $37,500 ● 1,000 Students × $20 = $20,000 Total GA Revenue: $57,500 Activation Zone Revenue ● 625 Guests × $39.95 = $24,970 Alcohol Sales ● 1,500 Adults × 2.5 Drinks × $10 = $37,500 Vendor Fees ● 25 Vendors × $300 = $7,500 Sponsorships ● Estimated = $10,000 TOTAL PROJECTED REVENUE: $137,470 10.
