No. 24957., authorizing the City Manager to enter into a contract with ChopAir of Kansas City, Missouri, 1 for the installation of High-Volume, Low-Speed Fans at the Downtown Pavilion in the amount of$27,689.00. Background: The City of Port Arthur Parks and Recreation Department operates the Downtown Pavilion as a community venue for public events,festivals,recreational programming,and special gatherings. Installing industrial high-volume,low-speed fans would improve air circulation, enhance patron comfort, reduce heat buildup within the Pavilion, and increase the Pavilion's usability during periods of elevated temperatures. The Parks and Recreation Department solicited quotations from multiple vendors for the purchase and installation of HVLS fans at the Downtown Pavilion, and the quote tabulation is attached hereto as Exhibit "A". After evaluating the quotations received, ChopAir, of Kansas , City, Missouri, submitted the lowest responsive quote and best value to the City in the amount of$27,689.00 for the turnkey installation of two(2)24-foot Epic Colossus Industrial HVLS fans in the main Pavilion area and two (2) Chop20 fans in the stage area, including all necessary mounting hardware, controllers,electrical connections, and related installation services. 4 Budget Impact: Funding in the amount of$27,689.00 is available for this purpose in the Parks and Recreation Capital Improvement Account Number 307-25-06.7-8525-00-10-000 PR0029.OTH.FAN Recommendation: It is recommended that the City Council approve P.R. A RESOLUTION AUTHORIZING THE CITY MANAGER TO EXECUTE A CONTRACT WITH CHOPAIR OF KANSAS CITY, MISSOURI, FOR THE PURCHASE AND INSTALLATION OF HIGH-VOLUME, LOW- SPEED (HVLS) FANS AT THE DOWNTOWN PAVILION IN THE AMOUNT OF $27,689.00; FUNDING AVAILABLE IN PARKS AND RECREATION CAPITAL IMPROVEMENT ACCOUNT NUMBER 307- 25-067-8525-00-10-000 P R0029.OTH.FAN WHEREAS, the City of Port Arthur Parks and Recreation Depattuuent operates the Downtown Pavilion as a community venue for public events, festivals, recreational programming,and other civic gatherings; and WHEREAS, the installation of High-Volume, Low-Speed (HVLS) fans at the Downtown Pavilion will improve air circulation, enhance patron comfort, reduce heat accumulation within the facility, and increase the Pavilion's usability during periods of elevated •`; temperatures; and WHEREAS, the Parks and Recreation Depai(Anent solicited quotations from multiple vendors for the purchase and installation of HVLS fans at the Downtown Pavilion, and the quote tabulation is attached hereto as Exhibit"A"; and WHEREAS, after evaluating the quotations received; ChopAir, of Kansas City, Missouri, submitted the lowest responsive quote- and best value to the City in the amount of $27,689.00 for the turnkey installation of two (2) 24-foot Epic Colossus Industrial HVLS fans in the main Pavilion area and two (2) Chop20 fans in the stage area, including all necessary mounting hardware,controllers, electrical connections,and related installation services; and WHEREAS, the City Council finds that awarding the contract to ChopAir is in the best interest of the City, attached hereto as Exhibit"B";and WHEREAS, funding for this project is available in the Parks and Recreation Capital Improvement Account No.307-25-067-8525-00-10-000 P R0029.OTH.FAN NOW THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF PORT ARTHUR,TEXAS: Section 1.
