SERVER REPLACEMENT FOR FIRE DEPARTMENTCity of Port Arthur, Texas Mayor and City Council Communication Date REFERENCE SUBJECT: Recommendation to approve the emergency I rA~e NUMBER purchase of a replacement server Cor the Fire Department. pa e t of t January 26,2610 S RECOMMENDATION: The Fire Department recommends that the City Council approve the emergency purchase of an HP DL550 Server with ancillary equipment to CDW-G of Chicago, IL in an amount estimated to be $18,999.23. BACKGROUND: The Fire Department's existing computer server has developed one critical hardware failure and several other minor hardware failures. The Fire Departments IT vendor has recommended that the server be replaces before is suffers a major crash with loss of data. The server was originally purchased in 2006 from Gateway Computers, they are no longer in business, and there is no support or parts for this server. The quote received from CDW-G was solicited using the TCPN contract #R4713. The City's Information Technology Manager also contacted Dell Computers for a comparison quote, but they were unable to provide a quote in a timely manner. Due to the critical nature of this server it was recommended that we move forward with this purchase. The City Manager approved this purchase on January 15, 2010. BUDGET/FISCAL EFFECT: Funds are available in Fire Department Equipment Account# 001-1121-521.92-00, for this purchase. Richard, Fire Chief Re: Emergency Purchase of Computer Server Date: January 15, 2010 COMMENT The Fire Department's' main computer server has a critical hardware failure and several minor hardware failures. It has been recommended $y MKY Enterprises that we replace the server before it has a major crash. MI{Y set the specifications for the new server but did not want to bid on the server. I have contacted the Purchasing Department and the City's Information Technology Manager and they approve this project. The server will be purchased from CDW-G using the TCPN contract. The cost for the new server is $18,999.23. Funds will be used from the Fire Department's capital account # 001=1121-522- 92.00. This expense was not budgeted for in FY09/10.
