HomeMy WebLinkAboutPR 16990: PURCHASE OF TWO 2 3/4 TON UTILITY TRUCKS MEMORANDUM CITY OF PORT ARTHUR UTILITY OPERATIONS DEPARTMENT TO: John Comeaux, P.E., Acting City Manager FROM: Kelly Eldridge, Director of Utility Operations DATE: April 9, 2012 RE: Proposed Resolution No. 16990 COMMENTS RECOMMENDATION I recommend that the City Council approve Proposed Resolution No. 16990 awarding the bid for the purchase of two (2) % Ton Utility Trucks to Caldwell Country Ford, of Caldwell, Texas in the total amount of $60,674. BACKGROUND These trucks will replace vehicle #1243, 1996Ford with over 355,000 miles, and vehicle #1394, a 2000 Chevrolet with over 266,000 miles. These vehicles will be used every day for checking lift stations daily and our operators to operate & maintain the Sabine Pass WWTP & LS's. Although bid packages were sent to them, no Port Arthur vendors submitted a bid. Only the following two bids were received for this equipment on March 29, 2012: Bidder Bid Philpott Motors $62,514. Nederland, TX Caldwell Country Ford $60,674. Caldwell, TX BUDGET /FISCAL EFFECT Funds are available in the Equipment Replacement Fund account #625- 1801 - 532.93- 01 /06. STAFFING /EMPLOYEE EFFECT Purchase of these trucks will allow continuity of required O &M tasks. SUMMARY I recommend that the City Council approve Proposed Resolution No. 16990 awarding the bid for the purchase of two (2) 3 / Ton Utility Trucks to Caldwell Country Ford, of Caldwell, Texas in the total amount of $60,674. A RESOLUTION AWARDING THE BID FOR THE PURCHASE OF TWO (2) % TON UTILITY TRUCKS, FOR THE UTILITY OPERATIONS DEPARTMENT TO CALDWELL COUNTRY FORD, OF CALDWELL, TEXAS, IN THE TOTAL AMOUNT OF $60,674. FUNDS ARE AVAILABLE IN ACCOUNT NO. 625-1801-532.93-01 & 625 - 1801 - 532.93 -06. WHEREAS, the Utility Operations Department routinely uses Utility Trucks to maintain the Water Distribution and Wastewater Conveyance systems throughout the City; and, WHEREAS, the Purchasing Division has solicited bids for such vehicles, as delineated in our Purchasing Policy, and two (2) bids were received on March 28, 2012 (a copy of the bid tabulation is attached as Exhibit "A "); with no Port Arthur vendors submitted bids, and, WHEREAS, the bids were evaluated by Utility Operations and Purchasing in order to make a recommendation to the City Council for award; and, WHEREAS, Caldwell Country Ford, of Caldwell, of Caldwell, TX provided the lowest and best bid meeting the specifications, NOW THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF PORT ARTHUR: THAT, the City Council hereby awards the bid for two (2) 3 /4 Ton Utility Trucks to Caldwell Country Ford, of Caldwell, Texas, in the total amount of SIXTY THOUSAND SIX HUNDRED SEVENTY FOUR AND NO /100 DOLLARS ($60,674.); and, THAT, an authorized representative of Caldwell Country Ford shall sign this resolution; and, THAT a copy of the caption of this resolution be spread upon the minutes of the City Council.
