Johnson, City Manager FROM: Larry Richard, Fire Chief Mark Blanton, Police Chief DATE: December 20, 2012 SUBJECT: Proposed Resolution No. 17367 RECOMMENDATION The Fire and Police Departments recommend that the City Council approve Proposed Resolution No. 17367 authorizing the purchase of thirty -two (32) computer work stations with ancillary equipment and software from Dell of Round Rock, Texas, in the amount of $35,296. BACKGROUND City Council approved acceptance of the 2012 State Homeland Security Program grant at the October 16, 2012 Council Meeting (Resolution No. 12 -489). This purchase is 100% funded by that grant. This project will include purchase of fifteen (15) computer workstations for the Fire Department and seventeen (17) computer workstations for the Police Department. The Police and Fire Department's Information Technology Coordinator solicited the quote for this purchase. BUDGETARY/FISCAL EFFECT Funds are available in Account No. 107 - 1118 - 521.92 -00, Project PS0017 for this purchase. STAFFING/EMPLOYEE EFFECT None. SUMMARY The Fire and Police Departments recommend that the City Council approve Proposed Resolution No. 17367 authorizing the purchase of thirty -two (32) computer work stations with ancillary equipment and software from Dell of Round Rock, Texas, in the amount of $35,296. A RESOLUTION AUTHORIZING THE PURCHASE OF COMPUTER WORKSTATIONS WITH ANCILLARY EQUIPMENT AND SOFTWARE FOR THE FIRE AND POLICE DEPARTMENTS FROM DELL OF ROUND ROCK, TEXAS, THROUGH TEXAS DEPARTMENT OF INFORMATION RESOURCES (DIR) CONTRACT IN THE AMOUNT OF $35,296; FUNDING AVAILABLE IN ACCOUNT NO. 107 - 1118 - 521.92 -00, PROJECT NO. PS0017. WHEREAS, the Texas Department of Information Resources (DIR) has established an information and communications technology ICT cooperative contract with Dell; and, WHEREAS, the City Council approved Resolution No. 12 -489 accepting the 2012 SHSP Grant at the October 16, 2012 Council Meeting to fund this purchase; and, WHEREAS, this purchase is 100% grant funded; and, WHEREAS, this purchase will include seventeen (17) computer workstations for the Police Department and fifteen (15) computer workstations for the Fire Department with ancillary equipment and software; and, WHEREAS, Dell of Round Rock, Texas, submitted DIR -SDD- 890 -TX quote in the amount of $35,296; and WHEREAS, funds are available in Account No. 107 - 1118 - 521.92 -00, Project # PS0017 for this purchase. NOW THEREFORE BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF PORT ARTHUR: THAT, the facts and opinions in the preamble are true and correct. THAT, the City Council authorizes the purchase of seventeen (17) computer workstations for the Police Department and fifteen (15) computer workstations for the Fire Department with ancillary equipment and software, in the amount of $35,296 from Dell of Round Rock, Texas, a copy of the quote is attached hereto as Exhibit "A ". THAT, a copy of the caption of this Resolution be spread upon the Minutes of the City Council of the City of Port Arthur.
