HomeMy WebLinkAbout(3) AWARD TWO PICKUP TRUCKS CITY OF PORT ARTHUR, TEXAS MAYOR and CITY COUNCIL COMMUNICATION DATE REFERENCE SUBJECT Bid Award - PAGE February 14, 2002 NUMBER 625-1801- Two (2) V~-Ton Extended I of 2 ~31.93-04 and 62~1801- Cab Pickup Trucks 531.93-05 RECOMMENDATION: I recommend that the City Council award the bid for two (2) V~-ton extended cab pickup trucks for the Public Works Department to Philpott Motor Company of Nederland, Texas in the amounts of $21,717 for one (1) truck with an extended warranty and $22,017 for one (1) truck with an extended warranty and trailer towing package, for a total award of $43,734. Funds are available in the FY 2002 Equipment l~.eplacement Fund Account Nos. 625-1801-531.93-04 (Drainage Division) and 625-1801-531.93-05 (Electrical Division) respectively. BACKGROUND: Bids for the two (2) pickup trucks were advertised on December 9, 2001 and December 16, 2001, with five (5) bid packets being mailed out. Bids were opened on January 9, 2002 with two (2) bids being received. HGAC quotations were also received from two (2) vendors. The bids and quotes are as follows: VENDOR PICKUP TRUCK EXTENDED TOWING (each) WARRANTY PACKAGE (each) (each) Philpott Ford Nederland, TX $20,962 $ 755 $300 Triangle Chevrolet Port Arthur, TX $22,099 $1,230 $175 Philpott Ford-HGAC Nederland, TX $22,364.20* $ 755 $325 *inclusive of HGAC fee Clear Lake Dodge-HGAC Clear Lake, TX $23,606.19' No quote $409 *inclusive of HGAC fee The Public Works and Equipment Services staffhave reviewed the bids and have determined that the bid by Philpott Motor Company complies with the required specifications and is the best value for the City. We will be ordering one (1) truck with an extended warranty ~ $21,717 (Drainage Division) and one (1) truck with an extended warranty and towing package ~ $22,017 (Electrical Division). The total award will be $43,734. BUDGET/FISCAL EFFECT: Funds for the purchase of these two (2) trucks were authorized by the City Council in the FY2002 Budget, Equipment Replacement Fund No. 625, and in the amounts of $18,000 and $28,000, for a total, orS46,000. In the preparation of the specifications for the trucks, both trucks were changed to ½-ton, extended cab pickup trucks to better suit their intended use. Both old vehicles have high mileage and high repair costs. EMPLOYEE/STAFF EFFECT: Purchase of these trucks will replace one 1991 model van and one 1992 model pickup truck, and will allow the supervisors using them to have more dependable and appropriate transportation for their job assignments. SUMMARY: I recommend that the City Council award the bid for two (2) ½-ton extended cab pickup trucks to Philpott Motor Company of Nederland, Texas, in the amounts of $21,717 for one (1) truck with an extended warranty and $22,017 for one (1) truck with an extended warranty and trailer towing package, for a total award of $43,734. Funds are available in the FY 2002 Equipment Replacement Fund Account No. 625-1801-531.93- 04 and 625-1801-531.93-05.
